Coordinate client document collection and ensure files remain accurate and complete.

Assist with deed preparation, recording, and follow-up.

Maintain confidential client files and legal records.

Track legal and administrative deadlines to ensure timely completion of work.

Coordinate with attorneys, financial advisors, CPAs, title companies, and county offices.

Oversee daily office operations and administrative workflow.

Assist management with special projects and operational improvements.

Create and maintain organized systems and procedures.

Answer client questions professionally and provide exceptional customer service.

Manage calendars, scheduling, and internal task assignments.

Help train and support administrative staff as the firm continues to grow.

Assist with compliance, reporting, and document management.

Continuously identify ways to improve efficiency and client experience.

Qualifications

Previous paralegal experience preferred (estate planning or real estate experience is a significant plus).

Office management or operations experience preferred.

Exceptional organizational skills.

Strong written and verbal communication.

Ability to prioritize multiple projects simultaneously.

Excellent attention to detail.

Professional appearance and demeanor.

Strong computer proficiency, including Microsoft Office and Adobe Acrobat.

Takes ownership of their responsibilities.

Thrives in a fast-paced environment.

Is dependable, accountable, and follows through.

Maintains a positive, team-oriented attitude.

Enjoys helping clients during important financial and legal decisions.

Wants a long-term career—not just another job.

Performance-based bonuses and advancement opportunities.

Paid vacation and holidays.

Professional development and ongoing training.

Opportunity to grow into a senior operations or management role.
